How Trial Balances are Made Available/Unavailable for Master Trial Balance Creation
When you import trial balance files from the Import Queue into General Ledger Manager, they get listed on Review Trial Balances, and are available for maser trial balance creation by default. Their availability is indicated by the presence of a check mark next to each one of them in the Available for MTB Creation column. Even if a trial balance has been used in master trial balance creation, it is still be available for use in the creation of other master trial balances by default.
There are two ways in which trial balances can become unavailable for master trial balance creation.
- You can deselect a trial balance in Review Trial Balances by removing the check mark next to it in the Available for MTB Creation column. Once deselected, a trial balance file will not be available for selection in Create Master Trial Balance.
- You can select an option in Create Master Trial Balance that automatically makes each trial balance that you use in the creation of a master trial balance unavailable for use in the creation of other master trial balances. This is a kind of one-time use only option for trial balances. When this option applies, the check mark will automatically be removed next to the affected trial balance file in the Available for MTB Creation column.
You can, however, always restore the availability of a trial balance for master trial balance creation by selecting it once again in the Available for MTB Creation column.
